Marketing Assistant, (Fort Greene, Brooklyn, NY) - posted Monday, September 29, 2008

Brooklyn Academy of Music (BAM), an internationally recognized presenter of contemporary performing arts and cinema, seeks a full-time Marketing Assistant to provide support to all functional areas of the Marketing Department in order to ensure that the department is running in an efficient manner, and that BAM's institutional identity and promotions are available and clear to the public. The Marketing Assistant reports to the Vice President of Marketing.

Responsibilities:
  • Assist VP of Marketing, including organizing meetings, managing calendar and contacts, preparing sales reports, fielding phone calls, conducting research, and some copying, filing, and correspondence
  • Work with artists and BAM staff to gather information about upcoming programs - including press, bios, photos, and videos - to be used for promotion by Design, Communications, and Marketing staff
  • Manage mailing list exchanges and rentals on behalf of BAM, including pulling lists from the database, tracking exchange and rental history, and invoicing renters
  • Track departmental finances by generating, recording, and filing purchase orders and invoices
  • Manage departmental administrative budget
  • Restock marketing materials daily, so that relevant materials are always available to visitors
  • Send brochures to external parties who have requested further information about BAM as well as organizations that will allow BAM materials
  • Manage design, production, and schedule for indoor kiosk posters at BAM by working with the Design and Productions staffs
  • Respond to (or forward to the appropriate department) customer service inquiries, including customer complaints, ticket queries, or program submissions, received through info@BAM.org
  • Act as a liaison with other organizations for cross-promotion so that BAM has access to new, and otherwise inaccessible, markets
  • Perform departmental administrative tasks including ordering office supplies, managing timesheets, distributing materials to building, maintaining marketing material archives coordinating complimentary tickets, filing, and copying
  • Work with marketing staff to coordinate programs and events (ie: Student Rush, BAMboo!, Afro-Punk, Brooklyn Book Fair, Rhythm & Blues at MetroTech, Takeover, marketing research)
  • Support marketing managers with additional tasks so that BAM can take advantage of all marketing opportunities and promote itself
Position Requirements
  • Bachelor's degree or equivalent
  • Knowledge of Microsoft Office: Excel, Word, Access, Outlook
  • At least one year office work experience
  • Excellent oral and written communication skills
  • A demonstrated interest in marketing, as well as contemporary arts and film
  • Intermediate knowledge of Tessitura, specifically the List Builder tool, is highly desirable
  • Creative and energetic with the ability to multi-task, excellent follow through on projects, and highly detail oriented
  • Customer service, problem solving, and research skills
Full-Time
The salary for this position is in the low $30K per year plus a full benefit package
